Last updated: 14 September 2026

This Privacy Notice explains how Kim Martin, trading as EYFS MENA, collects and processes personal information relating to website visitors, customers, prospective customers and users of our digital products and services.

This notice applies to website visitors, customers, prospective customers, account holders, course or event participants, consultancy clients, business contacts and people who communicate with us. Our products and services are intended for adults and organisations. We do not knowingly invite children to create accounts or purchase products directly from us.

3 Personal information we collect

Depending on how you interact with us, we may collect:

  • identity and contact information, including your name, email address, telephone number, organisation, job title, country and billing address;
  • account information, including login details, account status, product access, preferences and support history;
  • transaction information, including products or services purchased, prices, currency, payment status, invoices, refunds and transaction identifiers. We do not normally receive or store your full payment-card number;
  • service and participation information, including bookings, attendance, course progress, submissions, certificates, feedback and communications;
  • enquiry and correspondence information provided by email, website forms, video calls, messaging services or social media;
  • marketing information, including subscriptions, preferences, campaign interactions and opt-out records;
  • technical and usage information, including IP address, device and browser information, login records, approximate location, referring pages, pages viewed, cookie identifiers and security logs; and
  • any other information you choose to provide. Please do not send information about children, health, safeguarding cases or other sensitive matters unless it is genuinely necessary and we have agreed an appropriate secure method.

4 How we collect information

We collect information directly from you when you complete a form, create an account, buy a product, book a service, subscribe, contact us or otherwise interact with us. We also receive information automatically through our website and platform, from payment and technology providers, and from an organisation purchasing access for you. Where lawful, we may receive business contact information from professional networks, event organisers, referral partners or publicly available professional sources.

5 Why we use your information and our lawful bases

UK data protection law requires us to have a lawful basis for each use of personal information. We use information for the following purposes:

Purchases accounts and delivery

We use identity, contact, account and transaction information to process orders, provide digital access, administer licences, deliver training or consultancy, issue confirmations and certificates, provide support, process refunds and communicate about the service. The lawful basis is performance of a contract or taking steps at your request before entering a contract. Where an organisation buys for you, we may also rely on our legitimate interests in administering that customer relationship.

Payments taxation and legal compliance

We use transaction, billing and related records to collect payment, maintain accounts, prevent fraud, meet tax and record-keeping duties, respond to regulators and establish or defend legal claims. The lawful bases are contract, legal obligation and our legitimate interests in protecting the business and enforcing our rights.

Enquiries customer service and business relationships

We use contact and correspondence information to answer enquiries, prepare proposals, manage relationships, resolve complaints and improve our products and services. The lawful bases are steps before a contract, performance of a contract and our legitimate interests in operating and developing our business.

Website operation security and improvement

We use technical, account and usage information to operate the website and learning platform, authenticate users, prevent misuse, diagnose faults, maintain security, understand service performance and improve usability. The lawful bases are contract, legal obligation where applicable, and our legitimate interests in providing a secure and effective service. Where the law requires consent for cookies or similar technologies, we rely on consent.

Marketing

We may send news, product information, event information and relevant offers where you have consented or where the law permits us to contact an existing customer about similar products or services. The lawful basis is consent or, where permitted, our legitimate interests. Electronic marketing is also subject to the Privacy and Electronic Communications Regulations. You can unsubscribe at any time by using the link in a message or contacting us. Service messages concerning an order, account or product are not marketing and may still be sent when necessary.

Testimonials photographs and recordings

We will use an identifiable testimonial, photograph, audio recording or video for promotional purposes only where we have an appropriate lawful basis, normally your specific consent or a written agreement. You may withdraw consent for future use, although this will not make earlier lawful use unlawful and may not require recall of material already printed or distributed.

6 If you do not provide information

Where information is required to enter into or perform a contract, comply with law, verify identity or protect account security, we may be unable to accept an order, provide access, issue a certificate, respond fully or continue the relevant service if you do not provide it. Optional fields may be left blank.

7 Payment information

Payments are processed by the payment provider offered at checkout, currently including Stripe where available. The payment provider receives the payment and billing information needed to process the transaction and applies its own privacy notice. EYFS MENA generally receives confirmation, status, limited billing details and transaction identifiers rather than full card details. You should read the payment provider’s privacy information before paying.

8 Platform and other service providers

We use trusted service providers to operate our business. These may include FreshLearn for website, checkout, account, learning and digital-product delivery functions; payment processors such as Stripe; email, cloud storage, video-conferencing, communications, analytics, security, accounting and professional-adviser services. They may process information for us under contract or, for some activities, act as separate controllers under their own privacy notices.

We may also share necessary information with authorised team members or contractors, an organisation that purchased access for you, advisers, insurers, banks, auditors, regulators, tax authorities, courts, law-enforcement bodies or a prospective purchaser of the business, where lawful and necessary. We do not sell personal information.

9 International customers and international transfers

EYFS MENA serves customers internationally. Some service providers, support personnel or technical infrastructure may be located outside the United Kingdom. Where our use of a provider involves a restricted transfer from the UK, we take reasonable steps to ensure that the transfer is covered by UK adequacy regulations, an approved contractual safeguard such as the UK International Data Transfer Agreement or UK Addendum, or another lawful exception, together with any required transfer-risk assessment. You may contact us for further information about safeguards relevant to your information.

10 How long we keep information

We retain personal information only for as long as reasonably necessary for the purposes described above, including legal, tax, accounting, fraud-prevention and dispute requirements. Our usual approach is:

  • order, invoice and tax records: for the period required by applicable law, normally at least five years after the relevant 31 January tax-return deadline for a self-employed business;
  • customer, licence, account and product-access records: while the account, licence or service is active and normally for up to six years afterwards where needed for contractual, support or legal claims;
  • unsuccessful enquiries and proposal correspondence: normally up to 24 months after the last meaningful contact, unless a longer period is reasonably required;
  • marketing records: until you withdraw consent or object, with minimal suppression information retained to ensure we respect the opt-out;
  • course, attendance and certification records: for the period reasonably needed to verify participation, certification and professional records; and
  • technical and security records: according to operational and provider schedules, and longer where necessary to investigate security incidents, misuse or legal claims.

We may retain information for longer where law requires it, a complaint or claim is ongoing, or there is another documented lawful need. We may anonymise information so that it no longer identifies anyone and use that anonymous information for statistical or service-improvement purposes.

11 Security

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or destruction. Access is limited to people and providers who need it for legitimate purposes. No online service or transmission method can be guaranteed completely secure, so you should use a strong unique password and notify us promptly if you suspect unauthorised account access.

12 Cookies and similar technologies

Our website and service providers may use cookies and similar technologies for functions such as security, authentication, checkout, user preferences, performance measurement and analytics. Strictly necessary technologies may operate without consent where permitted. Non-essential cookies or similar technologies will be used only where an appropriate consent mechanism and lawful basis are in place. Where a cookie banner or preference tool is provided, you can use it to accept, reject or change non-essential choices. Browser controls may also allow you to delete or block cookies, although this can affect site functionality.

13 Your data protection rights

Depending on the circumstances and applicable law, you may have the right to:

  • be informed about how your personal information is used;
  • request access to your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase information in certain circumstances;
  • ask us to restrict processing in certain circumstances;
  • object to processing based on legitimate interests and object at any time to direct marketing;
  • receive certain information in a portable format;
  • withdraw consent at any time where processing relies on consent; and
  • complain to a data protection regulator.

These rights are not absolute and exemptions may apply. To exercise a right, email Contact@EYFStraininghub.com. We may ask for information reasonably needed to verify your identity. We normally respond within one calendar month, subject to lawful extensions for complex or multiple requests.

14 Automated decision making

We do not currently make decisions producing legal or similarly significant effects about individuals solely by automated means. If this changes, we will provide the information and safeguards required by law.

15 Complaints

Please contact us first at Contact@EYFStraininghub.com so that we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator, through www.ico.org.uk. If you are outside the UK, you may also have rights to contact a regulator in your country.

16 Third party links

Our website, products or messages may link to websites or services controlled by other organisations. Their handling of personal information is governed by their own privacy notices, and we are not responsible for those independent practices.

17 Changes to this notice

We may update this notice when our services, providers or legal obligations change. The current version will be published on our website with its latest update date. Where a change materially affects how we use existing personal information, we will take reasonable steps to bring it to the attention of affected individuals where required.
